Privacy policy
This policy explains what personal information Top Notch Spot handles when you use our website and recruitment services, why we handle it, and the choices you have.
Information we collect
- Account details such as your name, email address and password (stored only as a secure hash).
- Candidate profile information you provide, including your CV, work history, education, skills and job preferences.
- Employer and company details provided by hiring organisations.
- Records of applications, screening outcomes, interviews and offers created during the recruitment process.
- Job alerts and saved jobs you create, and the notifications we send you in your account.
- Messages you send through our contact form.
- Technical information such as IP address, browser type and sign-in times, used for security.
How we use candidate information
Our recruitment team uses your information to assess your suitability for roles you apply to, contact you about your applications and arrange interviews.
Your CV and profile are not publicly visible. Employers only receive a candidate's details after our team has screened and interviewed the candidate and decided to submit them for a specific role. We share only what is needed for that role.
Internal notes
Recruiters may record internal assessment notes. These notes are used by our team only and are not shared with employers unless deliberately marked for sharing.
Employer and company information
Company details (name, industry, location, website and description) are shown on public job and company pages once the company is verified. Employer contact details and internal records are not public.
Notifications and email
We show notifications in your account about your applications, interviews, offers and job alerts. When email is set up on the platform we may also send these by email. You can pause or delete job alerts at any time.
Cookies and analytics
We use a small number of cookies that are needed for signing in and for security. See our Cookie policy for details.
Analytics: on public pages we use Google Analytics to count visits and see which pages are useful. Analytics cookies are only stored if you accept them; you can change your choice at any time with “Cookie settings” at the bottom of the page. Analytics never runs inside your account.
Security
Access to personal information is limited by role. Files such as CVs are kept in private storage and can only be downloaded after an access check. Access to sensitive records is logged.
Retention
We keep personal information for as long as your account is active and as needed to meet legal, accounting and reporting obligations. You can ask us to close your account at any time.
Your rights
- Request a copy of the personal information we hold about you.
- Ask us to correct inaccurate information.
- Ask us to delete your account and personal information, subject to legal obligations.
- Withdraw consent for optional processing at any time.
